If a Resource is unable to record time in Karmly there a number of possible causes.
They may not be able to access the Time tab at all, or their timesheet may have no time entry options, as shown here:
Or they might see the following error when trying to record time for a specific date:
The possible causes are outlined below - check through each step to find and correct the cause so your candidate can begin recording time.
Mandatory Onboarding
If you have Onboarding setup in Karmly with 'Completion Required' checked on the template, then candidates must complete their onboarding before they'll be able to record time. The candidate will see the Get Started tab when they sign into Karmly and will need to complete the steps set out for them and submit their onboarding. Until they do, the Time tab won't be available for them to select.
You can check whether the candidate has incomplete onboarding from their Onboarding tab under Manage > People. Remove the onboarding if it's not required, or let the candidate know they need to complete it and hit Submit before recording time.
No Placement
To record time, the candidate will need to be added to a Placement Team in Karmly. Navigate to the candidate under Manage > People and ensure that they're on a valid placement.
Outside of Placement Dates
When recording time in Karmly, all time entries must fall within the Start and End Dates set on the placement. Click through to the placement and ensure the dates specified in the Placement Period cover the date the candidate is trying to record time for.
Ensure the candidate has also selected the correct placement - if they have similarly named placements, they may have chosen a different one by mistake.
Placement Units
Each placement can be set to be per hour or per day - if the placement has been incorrectly set to the wrong type of units, the candidate may run into some confusion with how to record their time. Ensure the units set on the placement are correct.
If the units are days, make sure the candidate isn't trying to click and drag on the timesheets to record their time, as that method of time entry is only applicable to hours.
Incorrect Placement Type
There are several possible Placement Types in Karmly, and candidates are only able to record their own hours if the Placement Type is set to Contractor - ensure the Placement Type is set correctly.
No Work Specified
Each placement also needs to have valid Work specified, for the candidate to record time against. Check the Work tab on the placement and ensure Work has been added.
Admin Only Work
If the placement has valid Work set, ensure that at least one of the Work options available is not set to Admin Only. If all Work for the candidate is set to Admin Only then administrators will be able to enter time on behalf of the candidate, but the candidate won't be able to record their own time.
Duplicate Resources
If the resource has been set up more than once in Karmly, then the placement may be assigned to one copy of the resource, while the other copy is logging in. You can check that there's only one copy of the resource under Manage > People. If duplicates exist, the records should be merged into one another as shown here: Merge your duplicate contacts

Great article! Make sure you set all your labour hire personnel as contractors in Karmly.
Most government contractors in Oz (who are paid by the recruiter as opposed to running their own PTY LTD) refer to themselves as Labour Hire, as that's what the Government calls them (and the ATO). Contractor has a different definition. However, set them to Contractor in Karmly, but amend Xero manually for STP accuracy.
Hi Stephen, glad to hear it helped! Absolutely - the type that you set on placements is about how the candidate engages with Karmly rather than their employment status.
Note that you can still set the candidates themselves as Labour Hire so that the details flow to Xero Payroll without needing any amendment. Just click into the 'Additional Tax Details' section when viewing a resource to access those additional settings, as seen here: Resources 😊
