Contacts are your primary contacts for placements, who will be approving timesheet approval requests and/or receiving copies of invoices for their placements.
New contacts can be added directly from the Team tab on a placement, or under Manage > People. You can set the basic contact details of the client contact on their record, and view a list of their placements.
You can also manage the default settings for whether the contact is an Approver or Billing Recipient for their placements. Turning the Approver or Billing Recipient checkbox on or off on the Contact record will update their status on all of their placements immediately, or you can manage the status for each placement individually in the placement list at the bottom of their record or in the Placement Team tab on each placement.
The available settings for Approvers/Billing Recipients are:
Approver - If ticked, the contact will be set as an Approver on any placements they're in and will receive approval requests for the placement by email. Learn more here: Approval Requests for Clients
Mute Approval Emails - This setting prevents the contact from receiving individual emails for approval requests, which can be helpful for clients who have a very large number of candidates. If this setting is enabled for any of your contacts, it's recommended that they be invited into Karmly to approve time (learn more here: Contact User Access) and that you set up Scheduled Reminder Messages to remind your contacts to approve any outstanding requests.
Billing Recipient - If ticked, the contact will receive a copy of any invoices generated for the placement. It's important to note that billing recipients receive all invoices relating to the placements they’ve been added to. This will include any consolidated invoices that also include details of other placements, if that client is set up to receive consolidated invoices. Learn more about Invoice Recipients here.
